Guidelines


The Exhibit Committee of the Edmonton Art Club is a collective of dedicated members, each bringing their unique insights and meticulous research to the table. The committee comprises the Chair, Co-Chair, and several Organizers.


Organizers first present their findings to the Chair and Co-Chair, detailing potential venues. Once this is done, the Chair and Co-Chair, alongside the organizers, review the logistics, which include timing and other critical factors.


This initial step is crucial as it sets the stage for the committee to refine these ideas. Upon the Chair and Co-Chair's approval, the Organizer transforms individual research into a cohesive strategy ready for implementation. This involves contacting the venue, arranging exhibit conditions, dates, times, opening receptions, venue prerequisites, and fees.


It's a dance of minds and talents, all converging to ensure that our exhibits not only showcase art but also embody the spirit of our club.


Exhibit Committee Members' Role


Committee Responsibilities: 

The Chair and Co-Chair develop engaging themes for shows and events and facilitate the smooth execution of each program. They manage social media campaigns, the publication of the event on our website, manage registrations, and handle payout details.


Reporting to the committee chairs, each member brings a unique perspective, ensuring that the exhibits reflect the diversity and talent within the club. They act as the bridge between artists and the community, showcasing the vibrancy of the local art scene.


Venue Selection Criteria:  

When scouting for exhibit venues, organizers must consider several key factors. The location should be accessible and situated in a safe area of the city, with ample parking availability. The duration of the exhibit and the approximate number of artworks to be displayed are crucial details that influence the choice of venue. Organizers aim for gallery spaces that enhance the artwork, avoiding outdated venues like community centers or churches that may not complement the artistic experience.


Financial and Logistical Planning:  

Organizers report back to the chair with comprehensive exhibit information, including fees, venue specifics, and budget considerations. They must possess excellent organizational skills to manage these details effectively. The committee works within a set deadline, ensuring that every aspect of the exhibit is meticulously planned and executed. This includes negotiating costs, scheduling installations, and coordinating with artists and vendors.


Marketing and Engagement Strategies: 

Attracting people to the exhibit is a critical task for the Chair and Co-Chair. They employ various marketing strategies, from social media campaigns to local partnerships, to generate buzz and attract visitors. The Chair and Co-Chair also consider how to create an immersive experience for attendees, leaving a lasting impression and encouraging word-of-mouth promotion. Engaging with the community and creating excitement around the event are paramount.


Committee Communication and Collaboration:  

The success of an exhibit often hinges on the committee's ability to communicate and collaborate effectively. Members must share a passion for art and have a deep understanding of the local art scene. Their problem-solving skills come into play when unexpected challenges arise. By working together, the committee ensures that each exhibit is not just a display of art but a celebration of the artists' journey and a testament to the club's commitment to the arts.
